As an executive assistant, you will have experience in a similar role. You will have the opportunity to support senior members of the organisation. You will have excellent communication, a positive attitude and flexibility with the ability to adapt quickly to change. The successful candidate must be able to produce thorough and accurate work in a high profile and fast paced environment. They must also be able to coordinate projects between various departments and provide other general administrative support.

 

Primary Responsibilities:

  • Interact with individuals at all levels of the organization, globally
  • Review operating practices and implement improvements where necessary
  • Independently perform varied administrative duties related to functional areas
  • Participate in and may coordinate committees or task forces, as assigned
  • Compile and/or integrate information needed to complete reports and documents
  • Independently produce reports, presentations and briefs
  • Review documents to ensure accuracy and quality, and revise as needed
  • Read incoming mail and triage in priority order, highlighting important items or requests for action
  • Provide administrative support to business and functional leaders in a manner consistent with the highest levels of performance and professionalism
  • Handle highly confidential information with complete discretion at all times
  • Make meeting arrangements and coordinate changes in global meeting schedules
  • Maintain diary, arrange meetings and appointments while providing reminders and ensuring attendees are prepared
  • Create/prepare meeting materials, e.g., spreadsheets, meeting agendas and minutes, and ensure distribution to appropriate individuals in a timely manner
  • Schedule and set - up resources and technology needed for meetings and events, e.g., conference rooms, catering, WebEx, telepresence
  • Co - ordinate travel arrangements and prepare expense reports
  • Manage office documents in accordance with enterprise records management procedures
  • Create and/or maintain SharePoint sites to facilitate team access to office documents
  • Business Service Liaison point of contact for on boarding of new employees
  • Prepare outgoing mail, including overnight express
  • Greet visiting clients, guests and employees

Required Qualifications:

  • Leaving Certificate or equivalent
  • Proven experience as an executive administrative assistant, senior executive assistant or in another secretarial position supporting business leaders
  • Experience supporting multiple leaders within a fast - pace environment
  • Must have a polished demeanour and be comfortable working with people at all levels
  • Ability to work in a large, matrix corporate environment
  • Exemplary planning, time management and prioritisation skills
  • Be comfortable using initiative and being curious
  • Possess excellent judgment and decision making abilities
  • Ability to manage multiple tasks / projects and deadlines simultaneously with attention to detail with a sense of urgency
  • Proven problem analysis and resolution skills
  • Excellent organizational and planning skills
  • Excellent verbal and written communication and grammatical skills
  • Experience coordinating large meetings, including WebEx virtual meetings and teleconferences
  • Intermediate or better level of proficiency with MS Office applications, specifically Word, PowerPoint and Excel
  • Work schedule flexibility, including availability for overtime as needed

Preferred Qualifications:

  • College degree
  • Experience of supporting a new site set up or large scale ramp of employees
  • Experience supporting individuals in multiple global locations
