We have a job vacancy for an Experienced Print Sales Administrator at a Dublin city centre location.
This is a full-time position
The holder of this Position will report to the Franchise Owner on a regular basis.
He/she will also liaise with all personnel particularly key personnel in each department i.e. production manager, head printer, graphic designer etc.
Print Sales Administrator Job Role
Your main responsibility is to oversee the entire Print Centre operation on a daily basis:-
- You will ensure customers are dealt with in a friendly, professional manner; treating the customer as the most important asset to Snap Printing from the moment of the first contact. You will have full responsibility for looking after the customer and their needs be it over the phone, by fax or over the counter. You must take whatever decisions are necessary to fulfil the customer’s needs.
- You will ensure the customer’s work is produced on time and to the highest possible quality standards.
- You will have responsibility for all jobs taken in whether by you or someone else and for following these jobs through the system from the moment they come in, to the moment they leave the centre e.g. ensuring efficient and effective production flow from customer services right through to despatch.
- You will carry out necessary supervision of staff when needed – managing the system and the personnel within the system; adopting excellent people management skills and ensuring a happy, productive working environment at all times.
Print Sales Administrator Duties Include:
Prioritising and scheduling your own day.
- Holding a Production Scheduling Meeting every morning with all relevant personnel e.g. Franchise Owner; Production Manager, Graphic Designer etc. Prioritise and plan all work to be carried out that day and ensure all staff are clear on what they have to achieve.
- Ensuring that necessary materials for use during the day are stocked up e.g. photocopy paper/ binding materials/ stationery/ marketing & promotional material etc. Delegate to customer services personnel as appropriate.
- Organising production of Photocopy Jobs.
- Organising deliveries/pickup of jobs via couriers or by arranging for the client to come in.
- Organising for Artwork Personnel to contact customers whose artwork is out on proof or on hold.
- Contacting customers
- (a) whose deadlines cannot be met;
- (b) whose jobs are on hold; and © where there is a discrepancy re; job details.
- Producing work dockets for all outstanding jobs where enquiries have been confirmed as orders. Continue to produce Work Dockets for orders that come in throughout the day.
- Organising stocks for jobs – order in if necessary (delegate as appropriate).
- Following up on all outstanding quotes. Producing quotes for all outstanding enquiries. Include enquiries left in for quoting from Franchise Owner or Sales Representative. Providing Telephone and/or fax quotes to the client. Leaving hard copies of quotes ready for posting. Ensuring the client gets both the faxed copy and posted copy of the quote.
- Dealing with telephone and counter enquiries. Projecting a friendly, professional, helpful and engaged image. Maintaining a positive attitude.
- Recording and processing all enquiries.
- Upselling at every opportunity. Draw out the client as to their printing needs. Where necessary put forward a detailed proposal to the client where their needs are substantial.
- Ensuring all jobs get out on time during the course of the day. If deadlines cannot be met ensure appropriate action is taken e.g. contact customer and reschedule delivery time.
- Ensuring all paperwork is kept in the appropriate tray and completed as appropriate. Invoicing all completed jobs.
- Updating our System, Print Perfect Elite with all relevant information discovered during the course of the day. e.g. new customer details; PMS numbers etc.
- Organising postage of all mail – quotes; promotional; thank you letters; invoices etc. Sorting through incoming mail.
- Organising promotional packages to be sent out to customers requesting them.
- Liaising with all clients bringing their documents to Snap Printing on disk. Ensuring the client is proficient in creating and saving the document on disk and offer advice where necessary.
- Maintaining correct operating and ISO standards at all time. Adhere to ISO operating procedures and ensure all staff adhere to them also.
