Background to the Role:
To join the office administration team in a specific department
Key Responsibilities:
- Scan and log all investor and client documentation (trades, AML, Investor correspondence) as received into the Investor Services Workflow system accurately and timely.
- Sorting, recording and distributing incoming post across the department.
- Review and proofread documentation (scanned and received) into the Investor Services Department allocating accurately to the appropriate queues within Workflow – investigating timely any anomalies as received.
- Maintain a secure robust filing system of Investor Files / data (both hard and soft copy) in accordance with Corporate policy and regulatory stanards.
- Track and provide weekly progress updates on the week’s achievements, highlighting any constraints timely to the appropriate Manager within Investor Services.
- Ensure responsibility for the accurate and timely preparation of Operational Data for offsite storage in accordance with Corporate policy and local legislation ensuring ease of retrieval at a time in the future.
- Assist the Investor Services team in the retrieval of Investor files and general filing / reporting duties.
- Ability to work in an orderly manner and on own initiative
- Adhere to strict Clean Desk policy and assist in maintaining a clean general office environment.
- Establish effective professional relationships with the various teams within the Department.
Ideal Candidate
- Third level qualification
- office administration experience is essential
- Previous experience in Financial services
- Good organisational and attention to detail
